Administrative Assistant

Department: Operations / Administration / Executive Office

Reports To: Office Manager / Executive / Department Head

Location: Remote – Travel as Needed

Job Summary:

The Administrative Assistant provides essential support by managing schedules, handling communications, organizing documents. This role ensures the smooth and efficient operation of the company while maintaining a high level of professionalism and confidentiality.

Key Responsibilities:

  • Manage calendars, schedule meetings, and coordinate appointments.
  • Prepare and proofread documents, reports, and correspondence.
  • Handle some incoming calls and emails; respond or redirect as needed.
  • Organize and maintain files, both digital and physical.
  • Coordinate and facilitate needs.
  • Assist with travel arrangements and expense reporting.
  • Support event planning and team communications.
  • Perform data entry.
  • Assist with onboarding new employees and organizing documentation.
  • Provide general administrative support.

Qualifications:

  • Associate or Bachelor.
  • 2+ years of administrative experience.
  • Proficient Computer skills.
  • Strong written and verbal communication skills.
  • Excellent time management and organizational abilities.
  • Ability to handle confidential information with discretion.
  • Detail-oriented with a proactive and professional attitude.
